Paperwork
These rules apply to booked studies, sits, walk-throughs, and briefings. They do not apply to goods we do not sell. No payment is taken through this website; refunds follow the invoice you were sent.
Eligibility
A refund is available when we cancel a sit we cannot restaff, or when you cancel early enough that the reserved days can be released. Consumer guarantees under Australian Consumer Law still apply.
Timeframe for a full refund of the deposit
- Cancel 10 or more days before the first booked on-site day: deposit returned in full.
- Cancel 4 to 9 days before: half the deposit is retained for the held week; the rest is returned.
- Cancel 3 days or fewer before, or fail to host without notice: the deposit is retained.
The remainder of the fee is not invoiced if the sit never begins.
Partial refunds
If we have already sat one or more days and you stop the study, you pay for days completed plus a write-up of notes already taken. Unused future days are not charged. If we stop the study for a reason on our side (illness we cannot cover, or a safety issue we create), completed days are billed and unused fees are returned.
Non-refundable items
- Scoping calls, which are not charged
- Travel already spent for a regional sit after you asked us to book overnight lodging
- Printing of a bound report that has already gone to the printer when you change the text
How to ask
Write to hello@dispatchcanvascore.digital or ring +61 3 5550 5410 with the outline date and site suburb. We confirm the figure in writing.
Processing time and method
Refunds travel back by the same method as the original payment, usually within 10 working days of the written confirmation. We do not issue cash at the Bourke Street desk.
Cancellation and rescheduling
You may move a sit once, at no extra fee, if you give 7 days’ notice and we have a later week free. A second move is treated as a cancellation of the original week plus a new booking.
No-shows
If no host is present at the agreed start, we wait one hour, leave a note, and treat the day as completed for billing. We will still offer one reschedule of remaining days if you contact us the same afternoon.
Work already started
Observation days that have begun are billable. The write-up week begins when the last observation day ends; if you withdraw during write-up, you still receive the notes as they stand and pay that portion of the fee.
Deposits
Deposits hold the week. They are credited against the final invoice. They are not an extra charge.
Exceptions
If a death, hospital admission, or site closure for a declared emergency prevents the sit, we reschedule without retaining the deposit. Weather that makes a yard unpleasant is not, by itself, an emergency.
